Purpose
This article explains how to delete an ELD in Encompass when it is no longer in use, and covers related cleanup actions for Drivers and Vehicles to prevent unnecessary charges and maintain accurate records.
When to Use This Article
- An ELD device is no longer in service and needs to be permanently removed from the system.
- A Driver will no longer use ELDs and their Data Profile should be downgraded to Essential.
- A Driver has left the company and their employee record and Mobile User Login need to be removed.
- A vehicle is no longer in use and should be disposed of to stop billing.
Steps to Follow
Delete the ELD
- Go to Settings > Vehicles tab > Connected Device List.
- Locate the ELD in question, hover over the line in the table, and click the trash can icon to delete.
- Confirm the permanent removal of this ELD from your system.
Change a Driver's Data Profile (Driver No Longer Using ELDs)
- Go to Drivers > Roster > locate the Driver and click on their name.
- Scroll to the Data Profile section and click Edit.
- Select Essential Driver Management from the dropdown. This indicates the driver will not be logging hours of service, cannot access the Encompass ELD mobile application, and IFTA and ELD data will not be automatically sent to Encompass for them.
Remove a Driver Who Has Left the Company
- See Terminating Employees in Encompass for information on terminating the employee.
- To remove the Mobile User Login, go to Settings and select Mobile Users Logins. Locate the driver and click the trash can to delete.
Dispose of a Vehicle No Longer in Use
- If the vehicle this ELD was installed in is no longer in use, dispose of the unit so that you are not billed for it on your Encompass invoice.
- See Disposing a Unit for more information.
What Not to Do / Common Pitfalls
- Do not leave a Driver on a higher Data Profile after removing their ELD -- this results in unnecessary charges.
- Do not forget to remove the Mobile User Login for terminated Drivers.
- Do not skip disposing of vehicles no longer in use -- inactive units continue to generate billing.
- Deleting an ELD is permanent and cannot be undone.
