Purpose
This article explains how Encompass® ELD’s Multi-User Functionality (Add Additional Users) allows up to 6 Drivers to log in and maintain their HOS records on a single device. This feature, often used by Hyrail crews, must be enabled in Encompass before appearing in the app and disables Team Driving. The first Driver logs in normally, then selects Add Additional Users from the menu for others to log in. Each additional Driver selects their log type (if applicable), chooses duty status, and can edit trip info pulled from the first Driver. Switching between active Drivers is done by tapping the Driver name in the Dashboard’s green bar and toggling Assume Driving Responsibilities (or Become Designated Driver on iOS). While in motion, logged-in Drivers can view their HOS data but only the designated Driver’s log will record drive time. Logout is done individually, with each user certifying and submitting their own logs.
Note: The Multi-User function must be enabled in Encompass before it appears in the app. Enabling this feature turns off the ability to use Team Driving.
When to Use This Article
- Multiple drivers need to share a single device and maintain separate HOS records.
- A Hyrail crew needs to log multiple drivers on the same ELD device.
- A driver needs to understand how to switch designated driving responsibilities between users.
Steps to Follow
Login Process for Multi-User
- The first driver logs into the Encompass® ELD application as normal.
From the dashboard, go to the upper right Menu and select Add Additional Users.
ANDROID™ IPHONE®/IPAD® Tap OK on the safety warning. The next driver logs in with their username and password.
ANDROID™ IPHONE®/IPAD® - If exempt logs are available, the driver will be presented with the option to select their log type. Otherwise, they proceed directly to the duty status page.
Select the appropriate duty status and press Submit Status.
ANDROID™ IPHONE®/IPAD® Review and update Trip Information (pulled from the first driver) if different. Press OK.
ANDROID™ IPHONE®/IPAD® - Repeat these steps for each additional user, up to 5 additional users.
Switching between Active Users
Click on the driver name at the top left in the green bar on the dashboard.
Select the driver to switch to. To make this person the active driver (so future drive time records on their log), turn on the toggle for Assume Driving Responsibilities (or Become Designated Driver on iOS). Press OK.
ANDROID™ IPHONE®/IPAD® While the vehicle is in motion, other logged-in users can switch context by selecting Additional User - Switch to view their HOS information.
Logout Process for Multi-User
Tap Logoff in the lower right corner and log out. A message will indicate that additional users still need to log out and will direct to those users' dashboards.
Note: Each user must individually certify and submit their logs.
What Not to Do / Common Pitfalls
- Do not enable Multi-User if Team Driving is needed—enabling Multi-User disables Team Driving.
- Do not forget to toggle Assume Driving Responsibilities when switching the active driver—otherwise drive time will record on the wrong driver's log.
- Do not skip individual log certification—each user must certify and submit their own logs separately.
- Do not exceed 6 total drivers on a single device.
Escalation Path
- Driver reviews this article for multi-user guidance.
- If the Add Additional Users option does not appear, contact the Encompass Administrator to enable it in the back office.
- For persistent issues, contact Encompass support.
