Service and Repairs

Purpose

This article explains how to access and manage Services & Repairs information for Vehicles in FleetMentor, with a focus on tracking budget and maintenance expenses. Users navigate to a Vehicle’s Services & Repairs tab to view and update budget-related fields, including starting odometer, average monthly miles, and costs for tires, maintenance, and repairs. The system calculates the Total Cost per Mile to provide insight into the Vehicle’s expense impact. Budget information is linked with the Vehicle’s General tab, ensuring consistency across the Maintenance Program. This helps fleet managers monitor expenses, optimize vehicle usage, and make informed decisions about vehicle rotation or removal.

Steps to Follow

To access Services and Repairs information on a Vehicle, select Add/View Vehicles from the Vehicles tab at the top.

A roster view of all the Vehicles will be displayed.

Click on the Vehicle # to edit the record.

From the Vehicle Profile, the Services & Repairs tab is selected.

NOTE: While Vehicle Info is displayed here for convenience in managing your Maintenance Program, any changes that need to be made should be done on the General tab.

Budget Info

Managing expenses related to your Maintenance Program helps to determine when a Vehicle has exceeded the established threshold and helps to determine when the Vehicle may need to be rotated or removed from service. It also provides visibility to the impact of your preventive Maintenance Program.

Select Edit to enter or modify your Budget Information.

• Starting Odometer – This field is carried over from the General tab. It provides a record of the odometer reading when the Vehicle started in your program or when you started tracking this. Any change to it will also be reflected in the General tab.
• Average Monthly Miles – Understanding your Average Monthly Miles is required to determine monthly expenses.
• Budget Monthly Expenses:
  • Tires – Track the cost of tires to include in overall expenses.
  • Maintenance – Costs for maintenance can be added here.
  • Repairs – Costs for unexpected repairs can be added here.
  • Total Cost/Mile – Uses the Average Monthly Miles and Total Cost/Mile to calculate.
