Purpose
This article explains how to create and manage Data Groups in Enterprise Data Management. Data Groups define a hierarchy that controls data visibility within an Enterprise-level Safety Management Suite account. Every record (except Company Data) must be assigned to a Data Group.
Understand Default Data Groups
Every SMS Enterprise account has three default data groups:
- Root: Top level of the hierarchy. Users cannot assign records to Root. Used to grant permissions across the entire tree.
- Shared: Next tier beneath Root where Company Data lives. All users have at least Viewing rights at the Shared level.
- Company: Same tier as Shared, but this is where you define your custom data access hierarchy.
Create a Data Group
- Go to Settings from the menu in the upper right.
- Select Data Access Groups.
- Select Add New.
- Select the Parent Data Group (where in the hierarchy this group should live) and enter the Data Group Name. Click Add.
- Add additional sub-groups as needed to build the hierarchy.
View Access Per Group
- Select the Access Per Group tab and choose a Data Group.
- View which users have access and their roles.
- Click Add to add a new Data Group, or click the + icon to add a user with a specified role.

View Access Per User
- Select the Access Per User tab and choose a user from the dropdown.
- View which Data Groups the user can access and their roles.
- Click + to add a new Role Permission for an existing Data Group.
- Select the Data Group and Role, then click Add.
