Purpose
This article explains how to add and remove Reporting Levels within a Flat Structure in Encompass, which consists of a single overarching company and optional reporting layers.
When to Use This Article
- You need to add a new Reporting Level (e.g., a new office or location) under your Flat Company Structure.
- You need to remove a Reporting Level that is no longer needed.
- You need guidance on naming conventions for company locations to comply with DOT regulations.
Steps to Follow
- Click Add Level underneath your Company.
Important: The ELD Mandate requires that the Company Name match the Carrier Name the DOT Number is registered to or the DBA (Doing Business As) name. For multiple Locations sharing the same DOT Number, use this naming pattern:
ABC Company - Appleton
ABC Company - Green Bay
ABC Company - DenverKey Takeaway: The registered Carrier Name always comes first.
- Fill in as much information as possible. Click Save when finished.
Your newly added level will now display in the list.
Remove a Reporting Level
- Click the trash can button next to the title of the level you want to remove.
- Confirm the deletion.
What Not to Do / Common Pitfalls
- Do not remove a Reporting Level without verifying it is no longer needed -- deletion is permanent and cannot be undone.
- Do not use a company name that does not match the DOT-registered Carrier Name or DBA -- this violates ELD Mandate requirements.
- Do not forget to put the registered Carrier Name first when naming multiple locations sharing the same DOT number.
