Purpose
This article explains how to add Parts Inventory Transactions in Encompass to manage inventory updates such as adding stock after reorders, adjusting quantities, or recording part transfers between locations.
When to Use This Article
- You need to add inventory after receiving a reorder.
- You need to adjust quantities on hand.
- You need to record part transfers between locations.
Steps to Follow
There are multiple ways to add a transaction:
- Add transactions when adding a new part by clicking Save & Add Transaction.
- Open the Part File and add from the Inventory Locations tab (Method 1 below).
- Click the $ icon next to the part on the Parts list (Method 2 below).
Method 1: Adding Transaction From Part File

Go to Vehicles > Maintenance > Parts. Click on the part number to open the part file.

From the Inventory Locations tab, click Add Transaction.

Enter at least the Inventory Location, Transaction Date, Quantity, and Action. Click Save when finished.
Method 2: Adding Transaction From Parts List

Go to Vehicles > Maintenance > Parts. Click the $ icon next to the part.

Enter at least the Inventory Location, Transaction Date, Quantity, and Action. Click Save when finished.
What Not to Do / Common Pitfalls
- Do not skip the required fields (Inventory Location, Transaction Date, Quantity, Action) — the transaction will not save.
- Do not forget to select the correct Action type (e.g., Add, Adjust, Transfer) to ensure inventory records are accurate.
