Purpose
This article outlines how to manage the Renewable Checklist in the J. J. Keller® Encompass® system to track DOT and company-specific service requirements for Vehicles. Users can access a Unit’s Checklist through Vehicles > Service, then choose to edit the entire list at once or update individual items (the latter allowing for notes). For each Checklist Item, users can mark it as not applicable, record completion and due dates, and add brief notes. Additional Checklist Items can also be added, with available options determined by system settings. These tools help ensure accurate tracking and timely completion of required vehicle documentation and inspections.
When to Use This Article
- You need to know how to view or edit the Renewable Checklist for a vehicle unit.
- You need to mark checklist items as completed or not applicable.
- You want to add a new renewable checklist item to a unit.
- You have questions about adding notes to individual checklist items.
Steps to Follow
Go to Vehicles > Service. Find the unit using the search function, advanced filters, or by finding the unit in the pre-populated list.
Enter the necessary information for each checklist item:
N/A - Toggle on if this item does NOT apply to this vehicle. The Completed and Date Due field will become inactive.
Completed - Enter the date the item was received.
Date Due - Enter the date the item is next due, if applicable.
Click Save to store the information. (Clear All Data clears the data from the checklist items permanently.)
Edit Individual Renewable Checklist Items
Hover over the item row and click the pencil icon to open up an Edit box.
Enter the necessary information for each checklist item:
N/A - Toggle on if this item does NOT apply to this vehicle. The Completed and Date Due field will become inactive.
Las Completed - Enter the date the item was received.
Due Date - Enter the date the item is next due, if applicable.
Notes - While this text box is rather large, only the first line of the note will appear on reports, so it is suggested to make any notes as brief as possible.
Click Save to store the information. (Clear All Data clears the data from the checklist items permanently.)
Add New Renewable Checklist Item
To add a new/additional renewable checklist item to the unit, click Add New.
Fill in the information just as directed above. Click Save when finished.

What Not to Do / Common Pitfalls
- Do not use "Clear All Data" unless you intend to permanently remove all checklist data for that unit.
- Do not write lengthy notes on individual items - only the first line appears on reports, so keep notes brief.
