Purpose
The Random Pool Setup allows you to establish and manage your company's FMCSA-compliant random drug and alcohol testing pool before conducting random draws. It guides you through defining testing requirements, establishing draw frequency, and identifying the drivers eligible for random selection.
Action Overview
The Random Pool Setup wizard walks you through 2 steps to create a new random drug and alcohol testing pool: configuring pool settings and building your driver roster.
Select the Add Pool/New Pool buttons found in the following places:
- Navigation Header
- Quick Overview
- Random Pools Roster Drawer
Random Pool Setup Steps
Step 1: Pool Information
- Pool Name — Enter a descriptive name for this testing pool. The name helps you identify the pool when managing draws and reviewing results.
- Test Cycle — Select how frequently random draws will occur throughout the year:

- Annual Target Percentages — Set the percentage of drivers to be pulled for testing during each draw:
- Drugs — Default is 50%. This reflects the FMCSA minimum annual testing rate for controlled substances.
- Alcohol — Default is 10%. This reflects the FMCSA minimum annual testing rate for alcohol.
*Note: These percentages are applied to the total number of drivers in the pool at the time of each draw.
Additional Pool Information (Optional)
Complete this section only if your organization has already begun a random draw program for the current calendar year. This ensures FleetMentor accurately tracks your remaining testing obligations.
- Draws Already Performed This Year — Number of random draws your organization has already conducted.
- Draws Already Completed This Year — Number of those draws that have been fully completed.
- Alcohol Tests Already Completed This Year — Total alcohol tests administered so far this year.
*Note: If you are setting up a brand-new program for the first time, leave all fields at 0.
Step 2: Add Drivers to Pool
Driver Counter
The top of the screen displays the current number of drivers included in your pool (e.g., "You currently have 25 drivers in your random selection pool"). This count updates automatically as you add or remove drivers.
Drivers are pre-selected based on the Subject to U.S. DOT Part 382 Drug and Alcohol Testing flag within the individual driver profiles.
Managing Drivers in the Roster
- Include an existing driver — Check the box next to the driver's name to add them to the pool. This will also mark their profile as Subject to 382.
- Remove a driver — Uncheck the box next to the driver's name to remove them from the pool.
Can't find your driver?
This roster displays Active and Inactive drivers who do not have a termination date and/or termination reason in their most current employment history entry. If you can’t find your driver, they may need to be added using the Add New Driver button and the Add New Driver drawer.
Searching and Filtering
Use the search bar to find a driver by name or location.
To narrow the list by specific attributes, click the filter icon to open the Filter Drivers panel. Available filter categories:
- Company
- Location
- Department
- Job Title
- Work Status
Expand any category by clicking the + icon to reveal its options. Select one or more values, then click Apply to filter the roster. Click Clear Selection to remove all active filters.
Important Notes
FMCSA 382 Flag: Adding a driver to the random pool automatically enables the Subject to 382 flag on their driver profile. This flag indicates the driver is subject to FMCSA Part 382 drug and alcohol testing requirements.
Managing the Pool Before Each Draw: Before each scheduled draw, you will have the opportunity to review and update the driver pool — adding new drivers, removing those who are no longer eligible, and confirming the roster is current.
Once you are satisfied with your driver roster, click Create Random Pool to finalize setup and look for the following success flag.
