Purpose
Test Tracking is a feature that gives you a centralized view of every individual test generated from your random draws. Rather than navigating draw by draw, Test Tracking lets you manage and update test results across all pools and draws from a single location — organized into 4 focused views: Open Tests, Completed Tests, Incomplete Tests, and Draw History.
Quick Overview Integration
The Quick Overview tiles for Open Tests, Completed Tests, and Incomplete Tests are directly connected to Test Tracking. Each tile displays a real-time count of tests in that status across all pools for the current year. Clicking any tile takes you directly to the corresponding tab in Test Tracking, pre-filtered to that status — so you can act on what needs attention without any extra navigation.
Test Tracking Tabs
Test Tracking is organized into 4 tabs. Each tab shares the same column structure:
| Column | Description |
| Driver Name | The driver selected for testing. |
| Pool Name | The pool the draw was conducted from. |
| Status | The current test status. |
| Draw Date | The date the draw that generated this test was conducted. |
| Required Test | Whether the required test is Drug or Alcohol. |
Each tab supports search by driver name or pool name, and filtering to narrow results.
Each driver-test combination is tracked as its own row. A driver selected for both drug and alcohol testing will appear as 2 separate entries.
Open Tests
The Open Tests tab displays all tests that have been generated from a draw during the current year but have not yet been marked as Complete or Incomplete. These are active tests requiring follow-up.
Available Actions per Test:
- Complete — Mark the test as successfully completed. The test moves to the Completed Tests tab.
- Incomplete — Close the test without a completed result. You will be prompted to select a reason. The test moves to the Incomplete Tests tab.
End-of-Year Reconciliation
Any tests that remain Open at the end of the calendar year will be marked Incomplete with a system-generated message and reflected in reporting. You can reopen and manage that test via the Draw History tab. Before year-end, review the Open Tests tab and mark each remaining test as either Complete or Incomplete with an appropriate reason to ensure your records accurately reflect your program's activity.
Completed Tests
The Completed Tests tab displays all tests that have been successfully marked as Complete from draws generated during the current year.
Status shown: Complete (green)
Available Actions per Test:
- Reopen — Returns the test to Open status if it was marked complete in error. The test moves back to the Open Tests tab.
- Incomplete — Close the test and document a reason instead. The test moves to the Incomplete Tests tab.
Incomplete Tests
The Incomplete Tests tab displays all tests that were closed without a completed result. Each entry shows the documented reason why the test was not completed. These tests are considered closed and count toward draw reconciliation but may contribute to a Shortage on the associated draw depending on the reason documented.
Status shown: Incomplete (red)
Reason displayed: The documented reason appears inline next to the Required Test column (e.g., Reason: Termination, Reason: Leave of Absence).
Available reasons include:
| Reason | Description | Creates Shortage? |
| Refusal | Driver refused testing as defined in 49 CFR 40.191. Counts as a completed test | No |
| Lay-Off | Driver was laid off before testing could be conducted | Yes |
| Termination | Driver's employment was terminated before testing could be conducted | Yes |
| Leave of Absence | Driver was on an approved leave of absence | Yes |
| Cancelled by MRO or Clinic Personnel | The collection or test was canceled by the medical review officer or collection site. | Yes |
| Other | Any other documented reason | Yes |
Available Actions per Test:
- Reopen — Returns the test to Open status if the closure was recorded in error. The test moves back to the Open Tests tab.
Draw History
The Draw History tab provides a unified view of every test across all statuses — Open, Complete, and Incomplete — in a single list. It is useful for reviewing the full picture of a specific draw or driver without switching between tabs.
The same actions available on each status-specific tab are available here: Complete, Incomplete, and Reopen, depending on the current status of each row.
Use the search bar or filter to narrow the list by driver name, pool name, or other attributes when working with a large history.
