Purpose
This article explains how to generate a random alcohol and drug testing selection in Encompass, including options for Agency-based and Employee Filter-based pools, and the available reporting options.
When to Use This Article
- A customer needs to generate a random selection for alcohol and drug testing.
- A customer asks how the system calculates the number of employees selected.
- A customer wants to print reports for selected or non-selected employees.
- A customer reports that random selection reports are not generating (pop-up blocker issue).
Steps to Follow
- Go to Driver Management > Alcohol & Drug.

On the left side, click Generate Random Selection under Common Tasks.

The Random Employee Selection screen will vary depending on how pools are configured:
- Agency-based: Select the agency, sorting options, and print options, then click Next.
- Employee Filter-based: Select the appropriate filters and options, then click Next.

- Review the Average Positions (the number of eligible, active employees). The system calculates the number of selections based on testing percentage divided by selection frequency. For example: 100 employees x 25% / 4 (quarterly) = 6.25, rounded up to 7.
- Review the Test Percentage Date Range for year-to-date test counts.
- Configure Report Options:
- Include list of employees not selected — Prints employees in the pool who were not selected.
- Print selected employee notices — Prints testing notices for selected employees.
- Print random selection contact(s) for selected employees — Populates notifications with the Random Selection contacts from each employee's Alcohol & Drug file.
- Print detailed information for the selected employees — Includes SSN (masked, last 4 digits only) and job class on the selected list.
- Ensure pop-up blockers are disabled for Encompass, then click Select. Reports will open in a new screen in PDF format.
What Not to Do / Common Pitfalls
- Do not click Select with pop-up blockers enabled for Encompass — the reports open in a new browser window as PDFs and will be blocked.
- Make sure the Alcohol & Drug Configuration setup is complete before attempting to generate a random selection (see the Setup article).
