Purpose
This article explains how to record and manage an employee's pre-employment Alcohol & Drug test information in Encompass, including navigating to the employee's file, completing the eligibility questionnaire, and entering test program details.
When to Use This Article
- When a customer needs to add a pre-employment test program record for an employee
- When a customer is completing the pre-employment test exception questionnaire
- When a customer asks how to record previous employer testing program information
Steps to Follow
- Navigate to the employee's Alcohol & Drug file by going to Drivers > Roster, clicking the driver's name, and selecting the Alcohol & Drug tab. Alternatively, go to Drivers > Alcohol & Drug and click the driver's name.
Scroll down to the Employee Pre-Employment Test Program section and click Add New.
Complete the three-part questionnaire to determine if the applicant meets the requirements for the pre-employment test exception.
- Enter the test program information:
- Name of the testing program
- Address, City, State, and Zip Code of the testing program
- Verify: check the three verification boxes for the applicant/employee
- Last Test Date
- Check Other violations of subpart B if applicable
- Enter any Notes as needed
Click Save & Add Test Result or Save.
What Not to Do / Common Pitfalls
- Do not skip the three-part questionnaire — it determines eligibility for the pre-employment test exception.
- Do not forget to check the three verification boxes, as they are required for the record to be valid.
